Steps to Build a Strong IT Security Culture

Jim DeBoer, Service Manager
October 21, 2026
Steps to Build a Strong IT Security Culture

Every organization relies on technology to operate, communicate, and serve customers. But even with the right systems and security measures, people can still be a business’s greatest vulnerability. Cybercriminals often target employees as an entry point, making it essential for teams to understand and recognize threats and respond appropriately.

While there's no way to eliminate cyber risk entirely, companies can significantly reduce exposure by building a culture where security becomes part of everyday decision-making. The most successful organizations don't treat cybersecurity as an IT-only initiative. They make it a company-wide responsibility.

At Lutz Tech, we help businesses strengthen their cybersecurity by addressing both technical risks and the human behaviors that can leave them exposed. Drawing on our experience working with clients, I've outlined practical steps your organization can take to build security awareness, empower employees, and create a stronger defense against cyber threats.

1. Security Starts at the Top

A strong cybersecurity culture begins with leadership. Employees are more likely to follow security expectations when executives, managers, and department leaders actively support them.

Leadership's role extends beyond approving technology investments. They help establish priorities, reinforce expectations, and demonstrate that cybersecurity is a business issue, not just an IT concern.

To encourage adoption:

  • Communicate why cybersecurity matters to the organization.
  • Connect security risks to real business impacts, such as operational disruptions, financial losses, reputational damage, and customer trust.
  • Include cybersecurity expectations in onboarding and ongoing employee development.
  • Empower managers to reinforce secure behaviors within their teams.

Organizations should also work with HR to incorporate security awareness into hiring, onboarding, and employee documentation. When organizations set security expectations from day one, they become part of the company culture rather than an afterthought.

2. Start with Security Awareness & Everyday Habits

Many organizations assume improving cybersecurity requires a major investment. In reality, one of the most effective places to start is employee awareness.

Cybercriminals increasingly rely on social engineering tactics designed to manipulate human behavior. Today's threats are more advanced than traditional phishing emails and often include:

  • Business email compromise (BEC)
  • AI-generated phishing messages
  • Deepfake voice and video scams
  • Credential theft
  • SMS phishing (smishing)
  • QR code phishing (quishing)
  • Unsolicited Teams calls from bad actors pretending to be the IT help desk

Employees should understand how these attacks work and what warning signs to watch for. Regular security awareness training, phishing simulations, and short educational refreshers help reinforce good habits without disrupting productivity.

This is an approach we use with Lutz Tech clients, providing live cybersecurity education paired with Q&A, giving employees a chance to learn about threats we're seeing and ask questions in real time. We also allow these sessions to be recorded so organizations can use them as part of employee onboarding.

Organizations can further support secure behavior by providing tools such as:

  • Password managers
  • Multi-factor authentication (MFA)
  • Secure file-sharing solutions
  • Email security protections

Perhaps most importantly, employees should feel comfortable reporting suspicious activity. Creating a culture where employees can ask questions and report concerns without fear of criticism often leads to quicker detection and response.

3. Develop Clear Security Policies & Procedures

Policies and procedures provide the framework for consistent decision-making. Without clear guidance, employees may unknowingly create risk simply because they’re unsure how to handle a situation.

Effective cybersecurity policies should clearly address:

Access Controls

Employees should only have access to the systems and information necessary for their role. Limiting access reduces the potential impact of compromised accounts.

Password & Authentication Requirements

Document expectations for password management, multi-factor authentication, and account security across all systems.

Remote & Hybrid Work Security

As hybrid work environments remain common, organizations should establish standards for:

  • Device usage
  • Public Wi-Fi access
  • Data handling
  • Physical security
  • Remote access methods

Incident Reporting

Give employees straightforward instructions for reporting suspicious emails, unusual account activity, lost devices, or potential security incidents. These procedures should make it clear that employees should report a concern as soon as possible, even if they aren't certain an account or device has been compromised. Early reporting gives IT more time to investigate and respond before a potential incident escalates.

The goal is to create policies that are clear, practical, and easy to follow. Overly complicated requirements often lead to frustration, workarounds, and inconsistent adoption.

4. Use Automation to Reduce Risk

Technology can help remove much of the burden that traditionally falls on employees and IT teams. By automating repetitive security functions, organizations improve consistency while reducing the likelihood of human error.

Examples include:

  • Automated software updates and patch management
  • Endpoint monitoring and threat detection
  • Account provisioning and deprovisioning
  • Security alerting and incident response workflows
  • Backup verification and recovery testing
  • Identity and access management controls

Multi-factor authentication remains one of the most effective security controls organizations can implement. Requiring an additional form of verification significantly reduces the likelihood of unauthorized access from stolen credentials.

Automation also supports employee productivity. When secure practices are built into everyday processes, employees can focus on their work without sacrificing security.

What Makes a Strong Cybersecurity Culture?

Organizations with mature cybersecurity cultures typically share several characteristics:

  • Leadership actively supports security initiatives.
  • Employees understand their role in protecting company information.
  • Security training is ongoing, not annual.
  • Clear policies guide decision-making.
  • Employees know how and when to report concerns.
  • Technology helps enforce security standards.
  • Cybersecurity is viewed as a shared responsibility across the organization.

Building this type of culture doesn't happen overnight. Consistent communication, education, and reinforcement create lasting behavior change and strengthen organizational resilience over time.

Build a More Secure Organization

Technology alone can't prevent every cyber threat. A strong cybersecurity culture combines leadership support, employee awareness, clear policies, and security-focused technology to reduce risk throughout the organization.

Businesses that are most successful at protecting their data aren't necessarily the ones with the biggest IT budgets. They're the ones that make cybersecurity part of how they operate every day.

At Lutz Tech, we help organizations strengthen their security posture through assessments, awareness training, managed IT services, monitoring, and strategic technology guidance. If you're evaluating your current cybersecurity program or looking for ways to educate your team, contact us to start the conversation.
